Insurance & Claims Checklist
The five steps of a claim — what happens, when, and what to check off.

Step 1 — Stop the damage
Hour 0 – 24We get water out, board up openings and set drying equipment before anything else. Your policy expects you to keep a loss from getting worse, and this emergency work is part of the claim — it does not wait on the adjuster.
- Call us and get a crew rolling — we answer 24/7
- Shut the water off or kill power to the affected area if it is safe
- Take your own quick phone photos before anything is moved
- We extract water, board up openings and set drying equipment
- Keep everyone out of unsafe or contaminated areas
Words you'll hear: Mitigation · Emergency services · Secure the loss
Step 2 — Open the claim and get a number
Day 1 – 2You call your insurance company and they give you a claim number. Give that number and your adjuster's name to us and we talk to them directly from there, so you are not stuck in the middle relaying messages.
- Call your insurance company and report the loss
- Write down the claim number, adjuster name, phone and email
- Send us that claim info so we can talk to the carrier directly
- Find your policy declarations page (limits and deductible)
- Tell the carrier emergency mitigation is already underway
Words you'll hear: Claim number · Adjuster · Deductible
Step 3 — Document everything, photo by photo
Day 1 – dryEvery room gets photographed before we move a thing, moisture readings get logged daily, and the equipment on site is tracked. That paperwork is what gets a claim paid without a fight.
- Wide and close-up photos of every affected room before demo
- Moisture map of what read wet on day one
- Daily meter readings logged until the structure hits dry standard
- Equipment log — how many machines, how many days
- You get copies of all of it, no need to ask
Words you'll hear: Moisture map · Drying log · Psychrometric readings
Step 4 — Agree the scope before demo or rebuild
Day 3 – 10We write the estimate in Xactimate — the same software your adjuster uses — line by line for the work that has to happen. Nobody swings a hammer on the rebuild until you and the carrier both agree on that list.
- We write the estimate in Xactimate, line by line
- Adjuster reviews and we reconcile any differences
- You review the scope and ask questions before signing
- Pick your finishes — flooring, paint, cabinets, countertops
- Nothing on the rebuild starts until the scope is agreed
Words you'll hear: Scope of work · Xactimate · Line item · Price list
Step 5 — Rebuild and close it out
Rebuild – closeOne licensed contractor takes it from demolition through drywall, paint and flooring. If we open a wall and find damage nobody could see, we file a supplement instead of asking you to eat the cost.
- Demo, drywall, trim, paint and flooring by one licensed contractor
- Hidden damage gets filed as a supplement, not billed to you
- Final walkthrough with a written punch list
- Certificate of completion and final photo packet for your file
- Carrier releases held depreciation once work is done
Words you'll hear: Supplement · Depreciation · Certificate of completion
